- Risk assessment: Planning for data migrations, including one-time data loads and on-going data exchanges into the EBS environment. Data flows need to be carefully controlled and on-going data flows require continuous monitoring under SOX guidelines.
- Preparing of Data to eliminate risk of project failures. Estimating data migrations is often given less consideration when EDS projects are being planned and estimated. So often that the work required to properly execute data migrations seems to take longer and cost more than anticipated. Data migrations need to be planned early on during the project cycle to ensure data is available for early EBS testing.
- Data assessment: What should you migrate? Migration decisions are very important and needs to be carefully defined. Corporate wide data (data emblements used by many people) need to be defined as common which ultimately requires some organizations/departments to change the data for which they are accustomed. Don’t get into the trap of finding “cross reference” dictionaries as a means to soften the change aspect of EBS. EBS is about change – for everyone.
- Migrate only the data that is required to start-up a new system. Loading historical data creates far too many issues such as scrubbing, identifying missing descriptions (attributes), causing key fields to be jeopardized in EBS, etc. Take the historical data and load it into a repository for future searching and archival, but keep in out of the EBS system.
- The 3 most commonly used data elements that effects the core of the business are: customer identification numbers, chart-of-accounts, and inventory. Vendor numbers are a close 4th for organizations that are de-centralized in procurement activities. These three (4) need careful consideration, strong business leadership and the acceptance of change across the entire organization.
- Cost Management: Strategies to eliminate cost over-runs. Writing interfaces to perform data loading (either one-time load or for on-going data exchanges) can be costly to build. Most always, due to the many various sources of data is legacy systems, these tools require custom programming and on-going support. To find tools that can reduce this complexity and reduce the time needed to execute clean data migrations will almost always be cost justified. Find these tools, ensure the robustness of the tools, test them and act upon acquiring the tools.
- On-time Success: Planning for your data migration on time. Begin planning for data migrations as part of the project’s first phase. Identifying corporate common data and the “owning” structure will begin to enforce the rules of EBS. These will also help to deliver the project yield the highest benefits while maintaining good cost management of the project.
